A written scope with named endpoints
Record where the service starts and ends, the cargo assumptions and the work included. Identify excluded or unpriced items, quotation validity and the party responsible for each destination payment. Keep revisions with the original shipment reference.
Approvals before additional work
Name the person who can approve checks, repacking, storage extensions and split dispatches. Ask for the proposed action, cost and timing effect before confirming a change. Keep the resulting instruction available to the people handling the shipment.
Document ownership stays explicit
Identify who provides and approves the invoice, packing list and product information. Ask the importer or appointed specialist to confirm destination-specific requirements. Record missing information and the date needed so document questions are not hidden in a general transport request.
Exceptions need a record and a next action
For missing packages, visible damage or a changed schedule, keep the order reference, observation and supporting records together. Ask who must act, what approval is needed and when the next update is expected. Preserve any agreed handover or receiving documents for follow-up.

The receiving address changes from a warehouse to a shop after the original proposal. Record the new entrance, access and unloading needs, then request an updated delivery scope.
