Identify what is actually being shipped
Use model references and photos. Distinguish equipment without a battery, equipment with a battery installed and batteries packed separately. Ask the supplier to describe the contents of each package rather than relying on a general product-category name.
Collect the available technical file
Request the supplier’s specification sheet and available safety or test documents for the exact model. Identify who issued each document and whether it matches the goods. Ask the reviewing carrier or appointed specialist which additional information is needed.
Review acceptance before choosing the route
Share product configuration, quantities and documents before comparing sea and air. Request an explicit acceptance review and packing instructions for the proposed service. Keep unresolved product or document questions open rather than treating a price estimate as transport approval.
Keep models and batches traceable
Link carton marks, model quantities and document versions to the packing list. If suppliers substitute a model or change the battery configuration, request a fresh review before dispatch. Confirm the receiving party’s import-document responsibilities separately.
A situation to plan for
ILLUSTRATIVE EXAMPLE
A supplier replaces one model after the original packing information has been reviewed. Keep the replacement separate in the order record and send its exact configuration and documents for a new review. Do not assume the previous response covers a different model simply because the products look alike.
Prepare your product brief
Add these product details to your shipment outline. Mark anything still unknown and identify who can confirm it.
- Model and package contents
- Identify each model, quantity and what is inside each package. Distinguish equipment without a battery, with a battery installed, and separately packed batteries using the supplier’s actual description.
- Matching technical records
- Collect available specifications and safety or test records for the exact model. Note the issuer, document version and any mismatch rather than treating a similar product’s file as interchangeable.
- Review status and open questions
- Record who is reviewing the shipment, which information remains missing and whether the proposed service has been accepted for the stated configuration. A price indication alone is not that confirmation.
- Change and release control
- Flag model substitutions, battery changes or repacking before dispatch. Keep the final carton list aligned with the configuration actually reviewed and the latest instructions received.
