Define the receiving site
Describe access restrictions and unloading equipment at the final address. Agree whether the handover is at a port, warehouse or project site.

Two parts look similar but have different model references. Keep their labels and package records separate, and identify the reference required by the receiving team. A visual receiving check does not confirm that a component fits a particular vehicle or machine; resolve that question with the product supplier.
Prepare your product brief
Add these product details to your shipment outline. Mark anything still unknown and identify who can confirm it.
- Exact part identity
- Provide part number, model, description and photos, plus any supplier substitution. Keep accessories or loose components listed separately.
- Package handling
- Record the gross weight and dimensions of each piece, stackability and supplier handling instructions. Identify the heaviest package before collection is arranged.
- Product characteristics
- Disclose batteries, liquids or other characteristics described by the supplier. Send the available technical information for review instead of assuming all parts share the same transport conditions.
- Receiving capacity
- Identify the workshop or warehouse contact, vehicle access and unloading arrangement. Separate transport handover from fitting, testing or installation requests.
