
Receiving instructions come first
Send the supplier list and expected packages before arranging delivery. Confirm the warehouse address, receiving contact and order marks for your shipment. Ask suppliers to retain their dispatch references so unidentified cartons can be traced to the correct order.
Count, identify and record
Match arriving packages to the receiving list. Agree whether records should include carton counts, visible-condition photos or item-level checks. Keep differences and missing orders visible in the register, with an owner for the next action.
Approve packing changes
Describe protection, carton, labeling or consolidation requests before work begins. Review the proposed materials, work and cost. After approved changes, use the updated package count and measurements in the packing list and freight discussion.
Keep stock and release instructions aligned
Agree the storage period and charging basis. Identify which orders stay, which leave and whether the next dispatch is complete or partial. Keep the approving contact and written release instruction with the final cargo list.
Close the warehouse-to-freight handover
Confirm the final package list, marks, measurements and documents against the selected transport plan. Resolve open supplier questions before release where possible. Record the handover reference and the next expected update rather than relying on the warehouse departure alone.
An example to clarify the decision
ILLUSTRATIVE EXAMPLE
The warehouse receives eight cartons against an expected ten, with one damaged outer box. Record the two missing cartons and the visible condition separately. Ask the approving contact whether to hold, inspect or repack the affected goods, and keep the instruction linked to those carton marks. Counting the arrival does not mean the full order is ready to leave.

Use one note for a specific order or packing change. Keep the observation, proposed work and approval separate so a receiving update cannot be mistaken for permission to alter or release the goods.
