One record for every supplier order
Ask the receiving record to distinguish expected, received, missing and held packages using order references. A supplier’s dispatch message is not a warehouse receiving record. Resolve unidentified cartons before including them in the final shipping list, and keep any agreed photos linked to the relevant order.
Approval for exceptions
Name a contact who can decide on shortages, visible damage, returns or extra packing work. Agree what information is needed for that decision and whether the affected goods should be held. Keep purchase disputes with the responsible buyer and supplier; receiving instructions should not silently become authority to amend a purchase.
A final list authorised to leave
Before combining and releasing orders, confirm the included cartons, orders still waiting, final packing data and destination. Record whether to wait for all suppliers or ship an agreed subset. If a late order is added after approval, update the release list and recheck the transport plan.

Do I have to buy through you?
You can request receiving and consolidation for orders you place yourself. Share the order records and agree the receiving instructions before suppliers dispatch to the warehouse.
What happens if one supplier is late?
Review the missing order and available goods together. Confirm whether to wait, send a partial shipment or change the packing plan, including any resulting storage or handling work.
Are all products inspected automatically?
Agree the check scope in advance: package count, visible condition, photos or specific item checks. Detailed product testing requires its own instructions and acceptance review.
